This policy outlines the procedures and responsibilities for managing and tracking server inventory at EDC Inc. It is designed to ensure the integrity, availability, and confidentiality of our server assets while minimizing the risk of unauthorized access, loss, or damage.

Scope

This policy applies to all EDC Inc employees, contractors, and third parties who are responsible for the management, operation, maintenance, and auditing of server inventory within EDC Inc’s IT infrastructure.

EDC Inc’s IT Server Operations department is responsible for maintaining an up-to-date inventory of all servers using the CMDB inventory management tool. This includes:

  • Recording the physical and logical attributes of each server, including its location, configuration, purpose, and owner.
  • Updating the inventory whenever a server is added, modified, or decommissioned.
  • Verifying the accuracy of the inventory on a regular basis.
  • Ensuring that all servers are patched every 30 days, unless an IT Exception is approved by IT Security. OS patching is managed by IT Server Operations.

Server Tracking

EDC Inc’s IT Server Build Operations department is responsible for tracking the status and performance of all servers. This includes:

  • Monitoring server usage and performance using appropriate tools and technologies.
  • Reporting any server issues to the IT-SOC (Incident Management) department.
  • Coordinating with the IT Monitoring Operations department to ensure that all servers are properly monitored.

Access to server inventory information is controlled by user and service accounts in Active Directory. The IT Security Operations department is responsible for managing these accounts and ensuring that only authorized personnel have access to the inventory.

Physical Security

The Corporate Physical Security department is responsible for ensuring the physical security of all servers. This includes:

  • Securing server rooms and data centers against unauthorized access.
  • Implementing appropriate environmental controls to protect servers from damage.

  • Conducting regular audits of server inventory management and tracking practices.
  • Reporting any non-compliance issues to the CAB (Change Audit Board).
