This policy outlines the environmental controls and monitoring procedures for data centers at EDC Inc. It is designed to ensure the integrity, availability, and security of our data center facilities and the critical data they house. This policy applies to all EDC Inc employees, contractors, and third-party service providers with access to our data centers.

1.0 Purpose

The purpose of this policy is to establish guidelines for environmental controls and monitoring in our data centers to prevent damage to equipment, loss of data, and interruption of services. This policy also aims to ensure compliance with regulatory requirements and industry best practices.

This policy applies to all data centers owned, operated, or leased by EDC Inc. It covers all hardware, software, and data housed within these facilities, as well as the supporting infrastructure and environmental controls.

3.0 Policy

3.1 Environmental Controls

EDC Inc’s IT Server Operations department is responsible for maintaining the environmental controls in our data centers. These controls include temperature and humidity controls, fire suppression systems, and power supply systems. All environmental controls must be regularly inspected and maintained to ensure their proper functioning.

  • Temperature and Humidity: The temperature in our data centers must be maintained between 20-25°C (68-77°F), and the relative humidity should be between 40-60%.
  • Fire Suppression: Our data centers are equipped with automatic fire suppression systems. These systems must be inspected and tested annually by the Corporate Physical Security department.
  • Power Supply: Our data centers must have redundant power supply systems to ensure continuous operation. These systems must be inspected and tested quarterly by the IT Server Operations department.

3.2 Monitoring

EDC Inc’s IT Monitoring Operations department is responsible for monitoring the environmental conditions in our data centers. This includes monitoring the temperature, humidity, power supply, and fire suppression systems. Any anomalies or issues must be reported to the IT-SOC (Incident Management) department immediately.

  • Active Directory: User and service accounts are monitored through Active Directory. Any unauthorized access or changes must be reported to the IT Security Operations department.
  • CMDB: Our inventory management tool, CMDB, is used to track and monitor all hardware and software in our data centers. Any discrepancies or issues must be reported to the IT Server Build Operations department.
  • CAB: The Change Audit Board (CAB) is responsible for reviewing and approving all changes to our data centers. Any unauthorized changes must be reported to the IT Audit and Compliance department.

3.3 Patching

All servers must be patched every 30 days by the IT Server Operations department. If a server cannot be patched within this timeframe, an “IT Exception” must be approved by the IT Security Operations department.

4.0 Enforcement

Any employee found to have violated this policy may be subject to disciplinary action, up to and including termination of employment. Any contractor or third-party service provider found to have violated this policy may have their contract with EDC Inc terminated.

5.0 Review and Updates

This policy will be reviewed annually by the IT Audit and Compliance department. Any updates or changes to this policy must be approved by the CAB.
