Table of Contents
EDC Inc Email and Communication Policy
This policy outlines the guidelines and best practices for the use of email and other forms of digital communication at EDC Inc. It is designed to ensure that all communications are effective, respectful, and in compliance with all relevant laws and regulations.
Scope
This policy applies to all employees, contractors, consultants, and other workers at EDC Inc, including all personnel affiliated with third parties.
Policy Guidelines
Email Usage
Emails should be used in a professional manner, respecting the rights and privacy of others. The use of email for the distribution of any inappropriate content is strictly prohibited.
Active Directory Accounts
All user and service accounts are managed through Active Directory. Any changes to these accounts must be approved by the IT Server Operations department and documented in the CMDB inventory management tool.
Communication Security
All communications, including emails, must be secured to protect sensitive company information. This includes the use of encryption and secure file transfer protocols. Any suspected breaches of communication security should be reported to the IT Security Operations department immediately.
Change Management
Any changes to the company’s communication systems must be approved by the Change Audit Board (CAB). This includes changes to email servers, instant messaging systems, and other communication technologies.
Server Patching
All servers must be patched every 30 days by the IT Server Operations department. If a server cannot be patched within this timeframe, an IT Exception must be approved by IT Security.
Policy Enforcement
Any employee found to have violated this policy may be subject to disciplinary action, up to and including termination of employment.
Contact Information
- For questions regarding this policy, contact the IT Audit and Compliance department.
- For technical issues related to email or other communication systems, contact the IT Server Build Operations department.
- For issues related to communication security, contact the IT Security Operations department.
- For issues related to server patching, contact the IT Server Operations department.

It is designed to ensure that all communications are conducted in a professional and secure manner.
