EDC Inc Data Center Equipment Lifecycle Management Policy
This policy outlines the procedures and responsibilities for managing the lifecycle of data center equipment at EDC Inc. It is designed to ensure the efficient use of resources, maintain the integrity of our data center environment, and comply with regulatory requirements.
Scope
This policy applies to all data center equipment owned and operated by EDC Inc, including servers, storage devices, network equipment, and related hardware. It covers the entire lifecycle of the equipment, from procurement and installation to maintenance, decommissioning, and disposal.
Policy
Procurement and Installation
All procurement of data center equipment must be approved by the IT Director of Server Build Operations. The equipment must be recorded in the Configuration Management Database (CMDB) upon receipt and before installation. The IT Server Build Operations team is responsible for the installation of the equipment in the data center.
Maintenance
Regular maintenance of data center equipment is crucial for ensuring its optimal performance and longevity. The IT Server Operations team is responsible for the ongoing maintenance of the equipment, including OS patching every 30 days. Any exceptions to this patching schedule must be approved by IT Security.
- User and service accounts are managed in Active Directory.
- Any changes to the equipment, including maintenance activities, must be recorded in the CMDB.
- All changes must be approved by the Change Audit Board (CAB).
Monitoring
The IT Monitoring Operations team is responsible for continuously monitoring the performance and health of the data center equipment. Any incidents or issues detected should be reported to the IT-SOC for incident management.
Decommissioning and Disposal
When data center equipment reaches the end of its useful life, it must be decommissioned and disposed of in a secure and environmentally responsible manner. The IT Server Operations team is responsible for decommissioning the equipment, while the Corporate Physical Security team oversees the secure disposal of the equipment.
- The decommissioning process must be approved by the CAB and recorded in the CMDB.
- Any data stored on the equipment must be securely erased by the IT Security Operations team before disposal.
Compliance
The IT Audit and Compliance team is responsible for ensuring compliance with this policy. This includes conducting regular audits of the data center equipment and its lifecycle management processes.
Policy Violations
Any violations of this policy may result in disciplinary action, up to and including termination of employment. If you have any questions about this policy or need to report a potential violation, please contact the IT Director of Audit and Compliance.
Policy Review
This policy will be reviewed annually by the IT Director of Server Operations. Any changes to the policy must be approved by the CAB and communicated to all relevant stakeholders.
