EDC Inc Cloud Storage and Data Sharing Policy

This policy outlines the guidelines and procedures for the use of cloud storage and data sharing services at EDC Inc. It is designed to ensure the security, integrity, and confidentiality of EDC Inc’s data and information assets.

This policy applies to all EDC Inc employees, contractors, and third parties who use or have access to EDC Inc’s cloud storage and data sharing services.

EDC Inc uses cloud storage services for storing and managing data. The use of these services is governed by the following guidelines:

  • All data stored in the cloud must be classified according to EDC Inc’s data classification policy.
  • Only data that is classified as public or internal can be stored in the cloud. Confidential and restricted data must not be stored in the cloud unless approved by IT Security Operations.
  • All data stored in the cloud must be encrypted in transit and at rest.
  • Access to cloud storage services must be controlled through Active Directory user and service accounts.
  • Cloud storage services must be included in the CMDB inventory management tool.
  • Any changes to cloud storage services must be approved by the CAB.

Data Sharing

EDC Inc uses data sharing services to facilitate collaboration and information sharing. The use of these services is governed by the following guidelines:

  • Data sharing must be conducted in a manner that maintains the security, integrity, and confidentiality of the data.
  • Only data that is classified as public or internal can be shared. Confidential and restricted data must not be shared unless approved by IT Security Operations.
  • Data sharing must be controlled through Active Directory user and service accounts.
  • Data sharing services must be included in the CMDB inventory management tool.
  • Any changes to data sharing services must be approved by the CAB.

Responsibilities

The following departments have responsibilities under this policy:

  • IT Server Operations is responsible for managing the cloud storage and data sharing services, including OS patching every 30 days unless an IT Exception is approved by IT Security.
  • IT Server Build Operations is responsible for building and deploying the cloud storage and data sharing services.
  • IT-SOC is responsible for managing incidents related to the cloud storage and data sharing services.
  • Corporate Physical Security is responsible for the physical security of the servers hosting the cloud storage and data sharing services.
  • IT Security Operations is responsible for the security of the cloud storage and data sharing services, including approving IT Exceptions.
  • IT Monitoring Operations is responsible for monitoring the cloud storage and data sharing services.
  • IT Database Operations is responsible for managing the databases used by the cloud storage and data sharing services.
  • IT Audit and Compliance is responsible for auditing the cloud storage and data sharing services and ensuring compliance with this policy.

Enforcement

Any employee found to have violated this policy may be subject to disciplinary action, up to and including termination of employment.

This policy will be reviewed and updated annually or as needed by the IT Director and Managers of the respective departments.
