EDC Inc Asset Lifecycle Management Policy for Server Hardware
This policy outlines the procedures and responsibilities for managing the lifecycle of server hardware at EDC Inc. It is designed to ensure the efficient use of resources, maintain the integrity of our IT infrastructure, and comply with regulatory requirements.
1. Policy Statement
EDC Inc is committed to managing the lifecycle of server hardware in a systematic, controlled, and efficient manner. This includes the acquisition, deployment, maintenance, and disposal of server hardware. The policy applies to all server hardware owned, leased, or otherwise used by EDC Inc.
2. Scope
This policy applies to all departments and personnel involved in the management of server hardware at EDC Inc, including IT Server Operations, IT Server Build Operations, IT-SOC, Corporate Physical Security, IT Security Operations, IT Monitoring Operations, IT Database Operations, and IT Audit and Compliance.
3. Roles and Responsibilities
- The IT Director is responsible for overseeing the implementation of this policy and ensuring compliance.
- Managers in each department are responsible for ensuring their staff comply with this policy.
- IT Server Operations is responsible for the regular patching of server hardware, unless an “IT Exception” is approved by IT Security.
- IT Security Operations is responsible for approving “IT Exceptions” and ensuring the security of server hardware.
- IT Audit and Compliance is responsible for auditing compliance with this policy and reporting non-compliance to the IT Director.
4. Acquisition of Server Hardware
Server hardware must be acquired in accordance with EDC Inc’s procurement procedures. The IT Server Build Operations department is responsible for the acquisition of server hardware.
5. Deployment of Server Hardware
Server hardware must be deployed in accordance with EDC Inc’s deployment procedures. User and service accounts must be created in Active Directory. The IT Server Operations department is responsible for the deployment of server hardware.
6. Maintenance of Server Hardware
Server hardware must be maintained in accordance with EDC Inc’s maintenance procedures. This includes regular patching every 30 days, unless an “IT Exception” is approved by IT Security. The IT Server Operations department is responsible for the maintenance of server hardware.
7. Disposal of Server Hardware
Server hardware must be disposed of in accordance with EDC Inc’s disposal procedures. The IT Security Operations department is responsible for the secure disposal of server hardware.
8. Inventory Management
All server hardware must be recorded in the CMDB inventory management tool. The IT Server Operations department is responsible for maintaining the inventory of server hardware.
9. Change Management
All changes to server hardware must be approved by the CAB Change Audit Board. The IT Server Operations department is responsible for submitting change requests to the CAB.
10. Compliance
Non-compliance with this policy may result in disciplinary action. The IT Audit and Compliance department is responsible for auditing compliance with this policy and reporting non-compliance to the IT Director.

This policy provides a framework for managing the lifecycle of server hardware at EDC Inc. It assigns responsibilities to various departments and personnel, and outlines procedures for the acquisition, deployment, maintenance, and disposal of server hardware.
